Travel Tips from the Front Lines
So, your Promotion has ended, and now you are charged with the task of booking your Grand Prize winner’s travel. Keeping in mind that your winner may never have ventured farther than the outskirts of their hometown, it would be wise to provide them with more than just their airline tickets & hotel confirmation number. It’s all about the experience for the winner – think about it… being a Grand Prize winner is a huge deal! To ensure that your winner has the best possible experience, a little hand-holding will turn a good experience into a GREAT experience. Some things to consider…Depending on the nature of the trip, consider providing your winner with a car service rather than a rental car. It can be stressful to drive in an unfamiliar place, and if your winner and guest are older, it can be a rather uncomfortable experience. If a rental car is the only viable option given the type of trip, perhaps including a rental car stipend rather than renting the car outright for the winner would be your safest bet from a liability perspective.
Given that the retail value of a Grand Prize trip is typically over the $600 tax liability threshold, consider including a check to offset the winner’s tax burden. Of course you cannot be a hundred percent certain that the check will be used for this purpose, but it will definitely contribute to a great Grand Prize experience for the winner.
A nice addition to the winner’s itinerary is a weather forecast for the destination city for the duration of the trip. I have had several winners express their appreciation for the extra information.
A personal call to the Grand Prize winner prior to their trip is a nice way to alleviate any concerns they may have. You may not have all the answers to their questions, but touching base with a winner who is nervous about traveling can make a huge difference.
You certainly cannot predict a winner’s travel experience as there are so many factors to consider, but perhaps some of the ideas cited above will help make travel a little easier for your winner.

I love this blog post. Thankfully, I am a seasoned traveller. I have yet to have any real problems on a Grand Prize trip and have managed to avoid some by being travel savvy, but I frequently hear from winners who have never been on a plane before, let alone have any idea what to expect. I give them tips on what to pack, what destination websites to visit, and yes, I tell them to even check the weather (we were the only ones with rain gear in Sante Fa one very wet April!).
